This is a part-time (25-32 hours per week), on-site position.
Office hours are 8:
30am-5:
00pm, Monday through Friday.
Responsibilities:
As an administrative assistant, you'll be expected to provide administrative support to the wealth advisors within our branch, assist with the day to day operations and perform the following duties:
General Office Duties:
Act as first point of contact for inbound and outbound phone calls as well as guests and clients Responsible for the overall impression of the office building, maintenance and ordering office supplies Responsible for handling all incoming/outgoing mail and packages as well as correspondence Administrative
Responsibilities:
Maintain Wealth Advisors calendars via Outlook which includes scheduling meetings/ conference calls and addressing meeting conflicts Plan and organize internal events including event registrations, conference room reservations, marketing support, and catering request Arrange all aspects of domestic and international travel which includes booking flights, providing travel itinerary, arranging hotels and car service, assisting with international travel requirements (ie, visas, entry letters) Prepare and submit expense reports on a timely basis for travel or business-related expenses, follow up on discrepancies and missing receipts to keep balances current.
Create, edit and format both internal office documents and client communications Maintain compliance approval for all client communications, advertising, and office Provide backup coverage for other employees, as needed Client Service:
Apply discretion and judgement when dealing with sensitive information Ensuring client's needs are met including opening of accounts, money movement, transfers, updating client information and processing any client requests
Qualifications:
Experience working in an administrative position required, financial services industry preferred.
College Degree Preferred (or 3
years of relative corporate experience preferred) Excellent communication, writing, judgment, and problem-solving skill Strong attention to detail as well as solid organization/time management skill Must be an enthusiastic and positive team player who is willing to help out and work well with others Able to work in a fast-paced environment and handle multiple tasks concurrently Proficient in the Microsoft Office suite especially Excel and Outlook Ability to be proactive and keep current with office procedures and technical training as well as all policy guidelines and compliance requirements Job Type:
